Job Summary:

The Account Manager is responsible for managing Rep Payee Accounts to include expense tracking, disbursements and account reconciliations. They will also be responsible for running the day-to-day office of the CFO to include a diverse range of responsibilities from providing administrative support, project management to facilitating organizational effectiveness and efficiency for office/agency operations. The Manager will interface with departments that report into the CFO (i.e., Finance, Facilities, Human Resources, IT EHR and Purchasing).

Job Responsibilities:

Manage the rep payee accounts to include expense tracking, disbursements and transfers to resident accounts and account reconciliations;

Provide regular monthly, quarterly and ad-hoc reports as needed for all rep payee accounts;

Schedule site visits to audit rep files to ensure original receipts are maintained and filed accordingly and provide record keeping recommendations as needed;

Respond to telephone and written inquiries for information regarding Rep Payee residents;

Prepare simple accounting schedules;

Serve as point of contact for CFO for staff and external partners and stakeholders to ensure timely response to inquiries;

Maintain organizational relationships including, vendors, financial partners, funders, and partners;

Maintain accurate electronic and paper files and records necessary for the orderly management of the

CFO’s work efforts and office;

Perform routine office support functions, including printing, scanning, data entry and filing;

Manage CFO’s calendar, travel and expenses, meetings and activities inclusive of planning, communication, and execution;

Manage agendas, prepare presentation materials, order catering and room setup, record and transcribe meeting minutes and action items for cross-team staff meetings, and ensure all stakeholders are aware of next steps, action items and responsibilities;

Contribute to the development and implementation of best practices, project standards, and procedures and ensure department contracts and manuals are up to date and accurate;

Prepare and submit bi-weekly payroll to the Chief Financial Officer;

Provide regular follow-up and planning to ensure efficient work flow of daily activities;

Provide backup for other administrative functions to include telephone and switchboard coverage as needed; and

Other duties as assigned.

Supervisory Responsibilities:

This position has no supervisory responsibilities.

Education and Experience:

Minimum Associate’s Degree or similar graduation technical or secretarial school, Bachelor’s Degree preferred; and

Minimum of three years administrative support assistance experience, preferably within a non-profit organization

Skills Required:

 

Expert computer knowledge and skills, particularly with Microsoft Office, Raiser’s Edge and related software products;

Proven strength in effectively prioritizing and managing time, taking initiative, thinking and learning quickly, juggling multiple duties and tasks, and meeting deadlines;

Excellent judgment and discretion in handling and maintaining confidential and sensitive information;

Must demonstrate a pleasant professional demeanor at all times with the ability to communicate clearly, concisely and courteously with all customers, clients, guests and staff;

Ability to communicate and interact effectively and diplomatically with others, both orally and in writing, to obtain and furnish information, respond to inquiries and resolve problems; and

Knowledge of proper grammar, spelling, punctuation, required correspondence procedures and formats, and preferred style, tone, etc., of the organization to prepare and review correspondence, memoranda, reports and other materials.

Physical Demands:

Must be able to lift up to 25lbs;

Must be able to sit for long periods of time and use their hands and fingers to handle or feel;

Must be able to exchange accurate information in via verbal in-person and telephone communications and written via electronic communications; and

The employee is occasionally required to stand, walk, reach with arms and hands, climb or balance, and to stoop, kneel, crouch or crawl.

Working Conditions:

Working conditions are normal for an office environment; noise level in the work environment is usually quiet to moderate; and

Must be available to work some nights and weekends.
