Grants Manager – Parker Lynch, New York, NY

Our client is seeking a Grants Manager who will report directly to the Controller and assist the CFO with budgeting, developing internal controls and building a strong financial team will oversee the billing, financial reporting and accounting for all government and restricted foundation grants.

The manager will collaborate closely with Development and Communications Department, Program Compliance and Performance Measurement Department, and appropriate other senior leaders of the program teams to develop funding proposals, determine appropriate grant allocations, and ensure proper grant compliance and reporting.

Duties and responsibilities

  • Grants Management Supervise Grants Accountants and coordinate the process for monitoring all financial aspects of the agency's grants, contracts and/or funding sources
  • Create efficient ways of communicating grants/contract compliance and requirements to the program leadership.
  • Align all grant management procedures and tools with agency policies and protocols.
  • Assist in monitoring budget performance as they relate to the grants and submit modifications, as needed.
  • Prepare budgets for new and renewal proposals in collaboration with the Development Department and others. Creatively work with senior leadership to adjust allocations to accommodate new funding streams.
  • Maintain the general ledger system in accordance with the grant reporting requirements.
  • Participate in the annual budget process and coordinate ongoing audits and the annual audit.
  • Implement regular quality assurance evaluations to minimize risk and identify areas of improvement.
  • Prepare reports such as the HRSA Uniform Data System (UDS) and NYS DOH AHCF Cost Report for the Health Services Department, etc.
  • Review monthly, quarterly and annual billing and reports, including FFR's.
  • Oversee accounting systems including general ledger, fixed assets, Accounts Payable and payroll, including scheduling of tasks to assure timely closing and reconciliation at month-end and year-end.
  • Annual preparation of IRS Form 990 and various NYS filings or working with external tax accountants to prepare filings if outsourced.
  • Oversee administration of procuring signatures, insurance certificates, etc. for grant renewal contracts.
  • Assist with internal and external audits, gathering documentation, performing account analysis and responding to other audit requests.
  • Oversee and assist with the preparation and distribution of the budget and the budget versus actual variance reports for management and key personnel.
  • Works closely with Financial Grants department to ensure government grant reporting is timely and accurate.
  • Oversee external annual financial audits and maintain high accounting standards.
  • Assures complete, accurate, and timely filing of all financial reporting as required by regulatory agencies, funders and others as required.
  • Ensure cash flow reports are completed accurately and agrees to general ledger (on a monthly basis for the latter).
  • Oversee distribution of Budget vs. Actual general ledger reports
  • Oversee and review preparation of G/L analysis, documentation of all journal entries, payroll entries, fixed assets, bank reconciliations, insurance schedules, tax reports/filings, accounts payable functions, and process updates related to the G/L system.
  • Oversee ROP Savings Plan, including collection, distribution and detailed subsidiary ledger.
  • Always reflects values and principles on social media.


  • Bachelor's Degree in Accounting required; CPA/MBA highly preferred.
  • Experience in not-for-profit grants management with a good understanding of government grant cost principles.
  • Experience working with federal, state and local city human services grants strongly preferred.
  • Proficiency with financial and grants software strongly preferred (Lawson/Infor system).
  • Outstanding computer skills; must have expertise in Excel.
  • Must possess a high level of ethical standards that guide decision making, confidentiality and cash handling.
