Client Services Specialist

Parker + Lynch is currently searching for an experienced and professional Client Services Specialist for a fast-growing law firm in the Oakland, CA region. This position is full-time, in office, salaried, and eligible for full benefits, including a generous PTO policy.

Our ideal candidate will have direct experience supporting clients and colleagues in either a law firm or other highly professional office space. The strongest candidates will excel at communicating with both clients and colleagues, possess a “team-player” attitude, and be willing to take charge and work independently in order to ensure client success and satisfaction. Required experience includes, but is not limited to, computer literacy and familiarity with word processing, spreadsheet, database and presentation programs.

Responsibilities:

  • Enforce New Business Intake protocol to ensure that new matters are opened accurately, all new protocols are communicated properly, and all necessary channels and systems are updated in a timely, accurate, and effective manner.
  • Provide understanding and application of client billing and litigation management guidelines for attorneys and litigation support staff.
  • Adhere to calendar status report and budget due dates to best support clients.
  • Monitor reporting requirements and communicate them appropriately.
  • Review and revise pre-bills and billing reductions to ensure accuracy, compliance, and to assist in maintaining positive client relationships.
  • Provide client-specific training to timekeepers to better produce accurate, billable time entries.
  • Resolve outstanding A/R, unapplied cash, and trust balances and report issues to management.
  • Assist timekeepers on an as-needed basis, including but not limited to assisting in appeal responses, billing deductions from select insurance clients, and firm audits.
  • Additional Information + Requirements

  • Minimum of three (3) years of relevant, in-office work experience is required.
  • Associates’ Degree in accounting, legal studies, and/or business administration preferred. Additional, relevant work experience considered in lieu of college education.
  • Ability to work under stressful and potentially tense situations; attention to detail and a strong ability to multitask are required.
  • Experience using Microsoft Office, Adobe Acrobat, Power PDF Advanced/PDF Converter Enterprise, iManage or related database management system, Aderant Expert or related account platform, CompuLaw or related electronic calendaring system, and QuickCreate or related new business intake systems are all required.
  • Experience using Inapp Time or related timekeeper system is preferred but not required.
